Hitting upload limit
This is one of the most common issues a user who is importing TM can encounter in XTM. On every server, a file upload limit of 150MBs is established and if your file exceeds this limit, the import will fail with an error. Possible solutions:
- Divide your file into smaller chunks
- Zip your files and upload the zip archive
- Delete unnecessary parts of the file, mainly duplicates, to make it 'slimmer'
This is the second most common problem encountered by our clients. When uploading TM file, please make sure that entities that are not supported by XML standards are properly escaped. For example, characters like:
has to be inputted into the document as:
If such characters aren't escaped, the file will error out and the process will either partially or fully fail. Online syntax checkers can be helpful when determining if your file holds character standards.
Unsupported file format
A third major contributor to issues with TM is the wrong file format or faulty structure. Please review our manual to learn which file extensions are accepted by the TM manager. Alternatively, you can hover over blue information button in the TM manager to learn about allowed extensions and to download sample files:

If it appears that, after uploading the TM alignment, source segments display "&" marks,
whereas the desired format would be "&", please follow the steps below :
- Export affected TM
- Delete affected TM
- Perform the "Search and Replace" option, in the exported TM document
- Import back the corrected TM
Can we restore TM
If you deleted TM by an accident, XTM Support can restore it only if the following option was enabled on your account:
Batch change of TM status
If you find your TM having not approved or approved status, to the contrary of your expectations, XTM Support can perform a batch database change for such TM. Please create a ticket and provide basic information like Customer the TM is connected to, language combination, and if the change has to be performed only for TM related to a specific project.

What is SYSTEM:USER: AUTO-STEP?
"SYSTEM:USER: AUTO-STEP" anywhere in the TM-related part of XTM means that a given match was created due to an automated step or process. Typically auto step approve tm or bulk action such as rollback is marked this way.
How to search for records in TM using Match option
In the Translation Memory tab you can search for full phrases and exact matches.
Keyword match types, please note that only Phrase Match and Exact match is available in TM Manager.
The search does not work in such a way that we are only looking for a specific text from three characters, if there is 'Phrase Match' we are looking for the whole phrase. If you find a record with a single letter 'A' in the translation memory and search for records by this letter, you will find a proper segment in TM.
Unfortunately, it is not possible to search only for special characters in TM, at least since version 11.4, but if, for example, we would like to search for a record named sda", you will find it and TM manager will show it including a special character.
I cannot search for any record in the TM tab, even if it exists in XTM and is displayed as a match in the editor
You may not be able to search for records for single or multiple languages in the TM Manager tab. In this case, we recommend that you contact us as soon as possible to find the cause of this problem. This is usually related to damaged translation memory indexes, which may have broken down during a sudden or unexpected downtime or XTM services restart.
